    Duplicating a Template

    2 min read

Learn how to quickly create a new template using an existing one without starting from scratch.

Duplicating a template allows you to reuse an existing structure and create a new version with minimal effort. This is useful when you want to create similar forms while maintaining consistency across workflows.

What does duplicating a Template mean?

Duplicating a template means creating a new template based on an existing one.

    The duplicated template will include:

    • The same structure
    • The same fields
    • The same settings

However, it will be saved as a separate template with a new name, allowing you to modify it independently.

When should you duplicate a Template?

Duplicating a template is helpful when:

    • You want to make small changes to an existing template
    • You need a similar form for a different team, location, or purpose
    • You want to avoid rebuilding a template from scratch

    Steps to duplicate a Template

Follow these steps to duplicate a template:

    Step 1: Open the Template

    • Log in to the Knowella platform
    • Click the menu icon on the left-hand side
    • Go to App Builder
    • Open the template you want to duplicate

    Step 2: Duplicate and update

    • Update the template name

    Example:
Safety Inspection → Safety Inspection – Warehouse

    • Make any additional changes if required
    • Click Publish

    Result

Once published with a new name, a duplicate version of the template is created.

    • The original template remains unchanged
    • The duplicated template can be edited and used independently

    Important notes

    • Always update the template name to avoid confusion
    • Review the duplicated template before publishing
    • Changes made to the duplicate will not affect the original template

    Best practices

    To manage duplicated templates effectively:

    • Use clear and consistent naming conventions
    • Update the description to reflect the new use case
    • Test the template using Preview mode before publishing
    • Keep templates organized within the correct category

    Why this matters

    Duplicating templates helps teams:

    • Save time
    • Maintain consistency across workflows
    • Scale processes across locations or departments
