How do I edit Roles in Knowella?

    2 min read

Learn how to update roles in Knowella to control user access while maintaining platform security.

Editing roles in Knowella allows administrators to control what users can see and do within the platform. Role management is designed with security in mind, which means only certain roles can be modified.

In Knowella, predefined system roles such as Company Admin and Facility Admin cannot be edited, while User roles and Custom roles can be updated as needed.

    Access the Roles Section

To edit a role, you must be logged in with sufficient permissions, typically as a Company Admin. From the main dashboard, navigate to Company Settings and open the Roles section. This page displays all available roles in the organization, including Company Admin, Facility Admin, User, and any Custom roles.

    System Roles (Not Editable)

It is important to note that the Company Admin and Facility Admin roles are system-defined roles:

    • These roles come with fixed permissions
    • Designed to protect platform security and structure
    • Cannot be edited or customized

    Editing the User Role

The User role can be edited based on your organization’s needs:

    • Locate the User role in the list
    • Click the Edit option from the actions menu
    • Open the Edit Role panel to modify permissions

Within the panel, permissions are grouped by modules such as:

    • Inspections
    • Assessments
    • Issue management
    • Checklists
    • Other operational features

You can enable or disable actions like:

    • View
    • Add
    • Edit
    • Delete

    Editing Custom Roles

Custom roles offer greater flexibility for organizations with specific requirements:

    • Create or edit custom roles as needed
    • Select permissions manually
    • Fine-tune access without affecting default system roles

    Save Changes

After adjusting permissions for a User or Custom role:

    • Review all changes carefully
    • Click save to apply updates
    • Changes take effect immediately for assigned users

    Conclusion

In summary, role editing in Knowella is intentionally limited to protect system integrity. While Company Admin and Facility Admin roles cannot be edited, the User role and Custom roles can be updated to match evolving responsibilities. This balanced approach ensures flexibility while maintaining platform security.
